What it's great at
- Routing work to the right person automatically
- Moving information between systems that don't talk to each other
- Keeping everyone updated without status meetings or "just checking in" emails
- Running the same process the same way every time
What it's not great at
- Fixing organisational problems. If two teams disagree on who owns something, AI won't settle it
- Processes that change every week. Automation likes stability
- Improving efficiency by adding complexity. Sometimes the answer is to delete a step
- Working without monitoring. Silent failures are worse than slow processes
How to implement it
Map one process from start to finish. Every step, every handoff, every system, and how long each part takes, including the waiting.
Challenge each step before automating it. Does it need to exist? Can two steps become one? This is often where the biggest gains are, and it's free.
Then automate the handoffs that cause the most waiting, add monitoring, and measure the end-to-end time before and after.
How I approach it
I like to question requirements before writing any code. The most efficient step is the one you don't need, and I'd rather simplify a process than automate its complexity.
Then I build the automation in small, observable pieces, so when something goes wrong you can see exactly where.
