Ask anyone how their week went and you'll hear a version of the same story. The important work got squeezed into the gaps between emails, forms, chasing and copying things from one place to another.
Nobody started a business to do more admin. AI won't get rid of all of it, but it can give back a surprising number of hours.
Where AI actually fits
The biggest time savings usually come from small, frequent tasks rather than big, rare ones. Five minutes, forty times a week, is over three hours. Across a team, that adds up fast.
AI can read, sort, draft and update. Those four verbs cover a lot of the admin that fills a working day.
What it's great at
- Drafting emails, quotes and reports so people edit rather than start from blank
- Sorting and routing inbound messages so nobody has to triage the inbox
- Pulling information out of documents and putting it where it belongs
- Chasing, reminding and following up without anyone having to remember
What it's not great at
- Saving time on work people enjoy or that builds relationships. Keep that human
- Tasks that change every time. If there's no pattern, there's nothing to automate
- Saving time when nobody trusts the output and checks everything twice
- Giving you time back if you immediately fill it with more meetings (I can't help with that one)
How to implement it
For one week, ask your team to jot down any task that felt repetitive. Not a big survey, just a shared note. You'll get a list of real, specific jobs.
Time the top few properly and pick the one that saves the most hours with the least risk. Build that first, with a person checking the output.
After a month, time it again. If the hours came back, move on to the next one.
How I approach it
I start with the work, not the tools. Most of the time savings come from understanding the job properly, and the AI is just the way we get the hours back.
I also make sure the time saved is real. If people are checking every output twice, we haven't saved anything yet, and we need to fix the trust before we move on.
